Introduction
The Supervision App ("we," "us," or "our") provides software that helps Minnesota clinical supervisors and their supervisees produce audit-grade documentation of clinical supervision for licensure with the Minnesota Board of Social Work and related boards. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our web application, our companion mobile application, and this website (together, the "Services").
By using the Services, you acknowledge the practices described here.
A note on client information
The Supervision App is not a clinical record system. It documents the supervisory relationship — sessions, hours, and sign-offs — not the underlying therapy. You must not enter Protected Health Information (PHI) or any information that identifies a supervisee's clients into structured fields in the Services. This restriction is part of our Terms of Service. Structured supervision records are designed to describe supervision itself, not the care a supervisee delivers to clients.
Information We Collect
Account and profile information
When you create an account, we collect information such as:
- Name and email address
- Role (supervisor or supervisee)
- Professional credentials and license information you provide (for example, license type, number, and pathway)
- Account authentication data
- Profile details and preferences
Supervision records
To provide the core function of the Services, we store the supervision data you and your supervisor or supervisee create, including:
- Supervision session details (date, duration, modality, and competency areas)
- Supervised-practice and supervision hour records and running totals
- Supervision plans and related documents
- Confirmations and immutable sign-offs on records
- Generated verification and supervision forms
Billing information
Subscriptions are billed by supervisors through our payment processor, Stripe. Payment card details are collected and stored by Stripe, not by us; we receive limited billing metadata (such as subscription status, plan, and the last four digits of a card) needed to manage your subscription.
Usage and device data
We collect information about how the Services are used, including:
- Features accessed and actions taken within the Services
- Device and application information (device type, operating system, app version)
- Log data, including IP address and general location
- Application performance and error data
How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the Services
- Create and manage accounts and the supervisor–supervisee relationship
- Track supervision hours and generate board verification and supervision forms
- Process subscriptions and manage billing
- Send transactional messages (such as invitations, verification emails, and account notices)
- Monitor stability, diagnose errors, and understand product usage
- Protect the security and integrity of the Services
- Comply with legal obligations
Service Providers
We rely on a small number of trusted third parties to operate the Services. Each processes data only as needed to provide its function:
- Supabase — application database, authentication, and file storage (hosting of your account and supervision data).
- Stripe — subscription billing and payment processing.
- Resend — delivery of transactional email (invitations, verification, and account notices).
- Sentry — error and crash reporting in the mobile application.
- PostHog — product analytics in the mobile application, to understand feature usage and improve the app.
We do not sell your personal information. We share information between a supervisor and their supervisee as an intended function of the Services, and we may disclose information when required by law, court order, or valid governmental request.
Data Security
We implement appropriate technical and organizational measures to protect your information, including access controls and row-level security so that one tenant's data is not readable by another. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Data Retention
Because supervision records may be needed for licensure verification long after supervision ends, we retain supervision data for as long as your account is active and as reasonably necessary to provide the Services and meet legal and professional recordkeeping expectations. You may request deletion of your account and associated personal data as described below, subject to records we are required to retain.
Your Rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Request deletion of your information
- Restrict or object to certain processing
- Receive a portable copy of your information

Children's Privacy
The Services are intended for licensed professionals and those in supervised practice, and are not directed to anyone under 18. We do not knowingly collect personal information from children under 18.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice.
